House Policies – Booking & Property Policies, House Rules and Terms
Rates and Taxes.
All rates are quoted in U.S. Dollars and are subject to change. Your final rate is confirmed at the time of booking and is subject to a 12% Transient Occupancy Tax and any other applicable state or local taxes
Additional Guests.
We do not allow any additional guests (day or night) on the property unless agreed upon with the owners ahead of time. People other than those in the Guest party set forth above may not stay overnight in the property. Any other person in or on the property is the sole responsibility of Guest.
2a. Additional Guests. The intent of the rental is for use by the guests listed in the above agreement. It is not intended to be utilized for a venue for a party, gathering, etc of individuals other than those in the above agreement. Please ensure any expected additional guests are discussed with and agreed to by the owners and listed in the agreement. If this is violated, we reserve the right to hold back the security deposit.
Booking Requirements.
To maintain an intimate and exclusive guest experience, we open our calendars within specific timeframes:
- Room Reservations: Bookings for the 4 Bedroom main house – hosted or unhosted can be made up to one year in advance.
- Any of our individual rooms (Buckeye, Grosvenor, Sayulita, and Kruger Rooms) can be made up to 60 days in advance of the arrival date.
- Full Property Buyouts & Events: For larger gatherings, private events, or booking multiple properties simultaneously, reservations can be made up to one year in advance. These bookings may require a separate Agreement.
Securing Your Reservation.
A valid credit card is required to confirm any reservation. The total cost of your stay will be processed according to the terms of the booking platform used, which will be clearly communicated at the time of booking. W&H Properties reserves the right to cancel any reservation made without a valid payment method.
Occupancy and Property Use.
Each of our homes has a maximum occupancy limit for standard residential use, which is clearly listed on its booking page (10 people maximum for The Wolf & Horseshoe and 8 people max at The W&H Cabin. We ask that you honor this for the safety and comfort of all.
- Private Events: Any gathering that exceeds the stated maximum occupancy is considered a private event. All private events are subject to separate pricing and require a signed Event Agreement, which will outline all specific terms, conditions, and costs.
- Full Disclosure: Failure to disclose a private event or provide an accurate number of attendees is a material breach of our agreement. In such an event, we reserve the right to terminate your stay immediately without a refund, retain the full security deposit, and seek compensation for any damages or additional costs incurred.
Minimum Stays & Special Periods.
Certain holidays, local festivals, and peak seasons may require a minimum night stay. These requirements will be noted on the booking calendar.
Agreement Precedence.
When a booking involves a signed Event Agreement, the terms and conditions outlined in that document will supersede this general reservation policy.
W&H Properties reserves the right to decline or cancel any reservation that does not adhere to these conditions. We thank you for your understanding and cooperation.
Reservation Cancellations and Modifications.
We have a strict reservation policy. Once booked Guests have 24 hours to cancel reservations in California for a full refund.
For the Main estate at The Wolf & Horseshoe, There is no full refund policy. Guests who cancel 7 or more days before check-in get 50% back. After that, the trip is non-refundable.
For the individual rooms at The W&H Estate and The W&H Cabin at Russian River, all reservations cancelled prior to 30 days before the first night of your booking may be cancelled without penalty and for a 100% refund. Cancellations between 14-30 days before the first night of your booking will receive a 50% refund. Cancellations within 14 days of the first night of your booking cannot be refunded under any circumstances.
If you need to modify your reservation for any reason, please contact us, as modifications may be made on a case-by-case basis, subject to availability. Generally, reservations may be modified prior to 30 days before the first night of your booking. Requests for modifications within 30 days of the first night of your booking cannot be guaranteed, and we have no obligation to honor such requests.
If you have also booked an event in connection with your overnight reservation, and you wish to cancel or modify your reservation or your event, the terms of your Event Agreement will also apply with respect to any termination or cancellation of your event. Please review your Event Agreement carefully in connection with any cancellation or modification of your reservation or of your event.
Check-in/Check-Out.
Check-in and check-out times for all properties and rooms are
3:00pm check-in and 11:00am checkout
. We kindly ask that you follow these designated times, as they allow our team the necessary window to prepare each home to our high standards for your stay and for future guests.
We understand that travel plans don’t always go as expected. If you need to arrive before your scheduled check-in or depart after your check-out time, please reach out to us in advance. While we’ll do our best to accommodate your request, all early arrivals and late departures are subject to availability and cannot be guaranteed. If approved, an additional fee may apply.
Quiet Hours / Outdoor Noise.
Quiet Hours are from 10:00pm to 7:00am. Please be considerate of the neighborhood and neighbors. During quiet hours, Sonoma County Ordinance requires outdoor noise must be controlled and stopped after 10pm, and indoor noise must be kept to a level that cannot be heard from outside the home. Violations of the quiet hours are subject to a fine of $300 per occurrence.
Parking.
At The W&H Estate: Parking is limited to 4 vehicle(s), unless agreed upon with prior approval by the owner.
For Individual Room Rentals at The W&H Estate: Each room reserved entitles you to one parking spot per room.
At The W&H Cabin at Russian River, it is highly encouraged to bring a maximum of 3 Cars. If the guest would like a 4th car, this must be agreed upon ahead of time with the owners.
At all Properties: Parking on the road is not permitted. Any illegally parked cars are subject to towing; applicable fines/towing fees are the sole responsibility of the vehicle owner.
As a condition of your booking, you agree to abide by all parking instructions and regulations communicated to you by us in connection with your booking.
Pet Policy.
At The W&H Estate and for any individual rooms booked at The W&H Estate, pets are not permitted. This is because of the livestock and animals already on property.
At The Russian River Cabin, pets may be permitted at our properties on a case-by-case basis, pending prior written approval, a pet deposit and payment of a non-refundable fee of $100 per night, per pet. In general, pets must weigh 20 pounds or less, though exceptions for larger pets may be considered at the sole discretion of management. Task-trained service animals are exempt from both the pet fee and weight restrictions.
Guests are fully responsible for any damage caused by their pets or service animals. Any necessary repairs will be charged to the guest’s account. Guests also agree to indemnify, defend, and hold harmless the property and its representatives from any claims, damages, or costs resulting from disturbances, injuries, or incidents involving their pets or service animals.
Advance written approval is required for all pets or service animals. Failure to obtain this approval may result in cancellation of the booking or the application of additional fees.
Smoking Policy.
All HH Properties are designated smoke-free environments. As such, smoking (including the use of electronic cigarettes, vaporizers, or any similar devices) is strictly prohibited in guest rooms, common areas, or anywhere on the property premises, including outdoor spaces.
Smoking rooms are not available at any of our properties. Guests seeking accommodations that permit smoking will need to make arrangements at other facilities.
Guests found in violation of this policy will incur a minimum penalty fee of $300 per occurrence. This fee is assessed to cover cleaning and potential damages associated with smoke-related violations. Repeated violations may result in immediate termination of the guest’s stay without refund and potential additional charges if damages exceed the stated fee.
Accidents/ Injury/ Theft.
The owners are not responsible for any accidents, injuries or illness that occurs while on the premises or its facilities. The Homeowners are not responsible for the loss or theft of personal belongings or valuables of the guest while staying at the property. By accepting this reservation, it is agreed that all guests are expressly assuming the risk of any harm arising from their use of the premises or others whom they invite to use the premise.
Housekeeping.
There is no daily housekeeping service, though it’s possible to have this coordinated with the owners ahead of time. While linens and bath towels are included in the unit, daily maid service is not included in the rental rate.
We do not permit towels or linens to be taken from the house. We recommend you use makeup wipes provided to remove excessive make-up. If towels and linens are severely damaged due to being used for excessive make-up removal, used for spill cleanup and severely stained, or missing upon checkout we reserve the right to utilize the security deposit to replace towels or assess a fine to a fine to replace the damaged or missing towels.
Pool and/or hot tub use.
No children under the age of 18 are permitted in pool without adult supervision. When using the pool or hot tub, remember there are certain risks associated. Use responsibly and at your own risk. Also, please be sure to refrain from using glassware in all outdoor areas near the pool.
If you break glass, in or around the pool, we must be notified to ensure proper cleanup and safety for future guests.
Guests found in violation of this policy will incur a minimum penalty fee of $300 per occurrence for cleanup.
Water and Septic:
The W&H Estate s on a well and septic system. If staying at the Estate or in any rooms, DO NOT FLUSH anything other than toilet paper. No feminine products should be flushed at any time. The septic system is very effective; however, it will clog up if improper material is flushed. If it is found that feminine products have been flushed and clog the septic system, or any other materials such as paper towels, etc, a minimum penalty fee of $300 per occurrence will occur for cleanup to the system and we reserve the right to charge you for the cost to repair and restore any damages to the septic system.
Alcohol.
We have a large spirits, beer and wine selection in our home. Unfortunately, it against the law for us to be able to share this with you. Therefore,
please refrain from consuming any wine, beer or spirits that are placed in the bar and wine racks
. You will be responsible for any missing inventory along with a re-stocking fee. Please, just be respectful and don’t consume.
Fireplace / Firepit Usage.
For guests at The Wolf & Horseshoe: The fireplace is a wood pellet fireplace. Only use pellets in the fireplace. Please do not throw any paper, wood, or other combustible materials in the fireplace. The fireplace must not be left on overnight. For misuse that causes damage we reserve the right to seek compensation for any damages or additional costs incurred.
For guests at The W&H Cabin at Russian River,
- Usage Limitations: The fireplace is for wood-burning only. Only provide dry, seasoned firewood. Do not burn trash, paper, plastic, or cardboard.
For all W&H Properties:
- Safety & Supervision: Fires must never be left unattended. A functioning fire screen/mesh must be used at all times to prevent embers from escaping.
- Fuel & Accelerants: Absolutely no lighter fluid, gasoline, or other accelerants may be used.
- Ash Disposal: Ashes must only be disposed of in the provided metal container with a lid and kept on a non-combustible surface. Never place hot ash in the trash or yard.
- Fire Bans: In the event of a local, county, or state fire ban, all fireplace and fire pit usage is strictly prohibited.
- Clearance Zone: Keep all furniture, blankets, and personal items at least 3 feet away from the fireplace.
- Liability: Guests are responsible for any damage caused by misuse of the fireplace.
Sheep, animals, livestock.
Please do NOT enter the sheep, livestock area for your own safety. While our animals are typically very sweet, there is always a chance that the Ram could sense danger, especially if he does not know you, and he can be very aggressive if this happens. Feel free to pet them from the other side of the fence.
Damage due to accidents.
If you have a spill, damage to furniture, rugs, linens, hardwood floors or any items in the house, please report this to us immediately so we can help ensure we eliminate any risk of further damage. For example, if red wine is spilled on the rug, you are responsible for making an attempt to immediately and thoroughly clean and let us know so we can determine if a special cleaning agent is needed, etc. Guests found in violation of this policy will incur a minimum penalty fee of $300 per occurrence and is responsible for the damage caused.
Other Key Policies.
- For those renting either The entire W&H estate or the Russian River Cabin, please ensure doors are Locked when not on the premises.
. There are many entry ways into each home – Please utilize the appropriate door for entry/ exit when coming and going (as communicated upon checkin). - Guests must keep the property and all furnishings in good order. Please do not move furniture around. Anything moved around must be If you move furniture around, please put back in place upon departure.
- Appliances must only be used for their intended use.
- No one should at any time walk on the roof.
- At the Wolf & Horseshoe Estate;
- please refrain from entering the upstairs Host Quarters bedroom. It is locked and is not accessible to guests.
- Please do not enter either barn on the property. These are not part of the rental and are private areas.
